Financial reports\u00a0<\/span><\/h3>\n<p><span style=\"font-weight: 400\">One common way that lawyers use Excel is to organise and make sense of financial data.This includes managing financial information like a <\/span><a title=\"law firm chart of accounts blog\" href=\"https:\/\/www.investopedia.com\/terms\/c\/chart-accounts.asp\" target=\"_blank\" rel=\"noopener\"><span style=\"font-weight: 400\">chart of accounts<\/span><\/a><span style=\"font-weight: 400\"> and budgets and generating key financial reports like income statements, cash flow statements, and balance sheets. Part of the appeal of using Excel for financial reports is that its tables allow you to easily arrange large lists of data and use complex formulas to perform calculations for numerous columns.<\/span><\/p>\n<p><span style=\"font-weight: 400\">That said, there are a few drawbacks to using Excel for financial reports.\u00a0<\/span><\/p>\n<p><span style=\"font-weight: 400\">One of the greatest disadvantages of Excel is the likelihood of human error. Research shows many spreadsheets contain mistakes, with<\/span><a title=\"basic research\" href=\"http:\/\/www.eusprig.org\/basic-research.htm\" target=\"_blank\" rel=\"noopener\"> <span style=\"font-weight: 400\">some estimates<\/span><\/a><span style=\"font-weight: 400\"> claiming that as many as 90% have them. In fact,<\/span> <a href=\"https:\/\/www.f1f9.com\/resources\/report-capitalisms-dirty-secret\/\" target=\"_blank\" rel=\"noopener\"><span style=\"font-weight: 400\">a study commissioned by F1F9<\/span><\/a><span style=\"font-weight: 400\"> and conducted by YouGov found that nearly one in five large businesses has suffered direct financial loss because of poor spreadsheets.<\/span><\/p>\n<p><span style=\"font-weight: 400\">A quick internet search reveals no shortage of spreadsheet snafus. One case in point: TransAlta, a Canadian generator of electricity. After incorrectly copying and pasting figures in a spreadsheet, the company<\/span> <a title=\"report on human error impact\" href=\"https:\/\/www.theglobeandmail.com\/report-on-business\/human-error-costs-transalta-24-million-on-contract-bids\/article18285651\/\" target=\"_blank\" rel=\"noopener\"><span style=\"font-weight: 400\">lost a staggering $24 million<\/span><\/a><span style=\"font-weight: 400\"> when higher bids were assigned to the wrong contracts. Of course, not all mishaps are nearly as costly as this. But for sole practitioners and small firms, even minor mistakes can greatlyimpact your bottom line. So, when it comes to financial reports, Excel for lawyers might not be the most reliable tool.<\/span><\/p>\n<h3><span style=\"font-weight: 400\">2. Timesheets<\/span><\/h3>\n<p><span style=\"font-weight: 400\">Lawyers know that recording their time accurately is critical to their firm\u2019s success. Yet, despite its importance, you\u2019d be hard-pressed to find a legal professional who truly revels in the time recording process.\u00a0<\/span><\/p>\n<p><span style=\"font-weight: 400\">That\u2019s because many legal professionals often turn to Excel for lawyers to input how much time they spend on a task or client matter. These multi-column timesheets include a range of information, like the date and their name, hours worked, task description, case or client name, and hourly rate.<\/span><\/p>\n<p><span style=\"font-weight: 400\">The problem? Using Excel requires manual data entry\u2014and plenty of it. Naturally, this can be cumbersome for lawyers, most of whom are already short on time. In fact, Clio\u2019s <\/span><a title=\"legal trends report\" href=\"https:\/\/marketing.dev.clio.systems\/uk\/resources\/legal-trends\/\"><i><span style=\"font-weight: 400\">2021 Legal Trends Report<\/span><\/i><\/a><span style=\"font-weight: 400\"> found that the average lawyer billed just 2.5 hours of an eight-hour day, suggesting that inefficiencies like these hinder client work.\u00a0<\/span><\/p>\n<p><span style=\"font-weight: 400\">Like financial reporting, inaccuracies are another concern at play. When relying solely on timesheets, lawyers may not be able to enter their hours for days or weeks after completing a task, which can result in lost revenue by missing billable hours. The <\/span><a title=\"legal trends report\" href=\"https:\/\/marketing.dev.clio.systems\/uk\/resources\/legal-trends\/\"><span style=\"font-weight: 400\">same report<\/span><\/a><span style=\"font-weight: 400\"> found the average realisation rate for law firms was 84%, which means 16% of billable hours go unbilled at firms. While shared workbooks and the ability to add comments are possible with Microsoft 365, the ability to download and resave files means you can never be entirely certain the latest spreadsheet has all the edits and details added by colleagues.
